Indiana University Kokomo seeks qualified applicants for the position of Administrative Secretary in the School of Nursing. Under the supervision of the assistant to the dean, this position is responsible for providing office and secretarial support for the Nursing Administration Office, including the associate/assistant deans, director, and all full-time resident and adjunct nursing faculty. This position also serves as a receptionist in the School of Nursing, directing inquiries to the correct individual or office.
The position manages the process for tracking student and faculty compliance with immunization, health records, and required trainings (HIPAA and OSHA); utilizes software system to maintain, update and track immunization/health records database, background check information, and HIPAA and OSHA of all nursing students and faculty; processes other hospital required documentation necessary for clinical placement; distributes records and information as directed. This position also verifies completion of student background checks; and consults with clinical liaison, associate/assistant deans, and assistant to the dean as needed for clarification. Additionally this position works with the clinical liaison to utilize an online software database to facilitate student clinical placements. The position is responsible for taking and transcribing minutes for multiple committees. The position oversees and manages multiple (4) school of nursing ceremonies throughout the year, necessitating evening work hours on the event day.
Minimum qualifications: High School Diploma or GED with at least one-year administrative experience. Strong interpersonal skills required with ability to work collaboratively and professionally with diverse constituencies. Ability to interact with faculty, students, prospective students, university staff and general public in a professional manner. Must possess attributes of creativity, thoroughness and professionalism and be able to handle confidential information with discretion. Must be familiar with Microsoft Office Suite, copier, fax, scanner, telephone, calculator, and various information systems specific to IU operations.
Must be able to sit or stand for long periods of time; push or pull carts, dollies, etc.; lift and/or carry objects weighing 15-25 lbs.; and drive an automobile on public roads and highways. Occasional overnight travel is expected.
